Position Summary:

The Front Desk Receptionist serves as the first point of contact for patients and spa clients, setting the tone for an exceptional experience from check-in to check-out. This individual must be personable, professional, detail-oriented, and able to manage both the medical and aesthetic sides of the practice seamlessly.

Key Responsibilities:

Front Desk Operations:

• Greet patients and clients warmly upon arrival and check them in efficiently.
• Answer phones, respond to emails, and schedule appointments for both medical and medspa services.
• Verify insurance information and collect copays (for medical services).
• Manage intake forms, consent forms, and ensure accurate patient documentation.
• Process payments for products and services.
• Maintain a clean and organized front desk and lobby area.

Customer Service:

• Provide friendly, professional, and discreet service to all clients.
• Educate clients on spa services, skincare products, and ongoing promotions.
• Handle client inquiries, reschedules, and feedback with care and professionalism.

Administrative Support:

• Assist with daily office operations, including confirming appointments and managing provider schedules.
• Coordinate between clinical staff, estheticians, and management to ensure smooth patient flow.
• Support marketing efforts (social media content coordination, event planning, etc.) when needed.

Qualifications:

• Experience: Minimum 1 year in a medical office, medspa, or similar front desk/reception role preferred.
• Skills:
• • Excellent communication and interpersonal skills.
  • Strong attention to detail and multitasking ability.
  • Proficiency with EMR/EHR systems and software.
  • Familiarity with medical and aesthetic terminology a plus.
• Personality: Warm, professional, polished, and comfortable in both medical and luxury spa settings.
